1. Navigate to your appointment ledger by clicking Appointment book on the homepage.
2. Your appointment ledger for the day will open. Hover over a patient’s name to see the slot type (consultation type).
White slots = telephone consultations. Orange slots = document reviews.
3. When ready to start, right-click the patient name → Change slot actions → Start call.
This highlights the patient in bold so the practice can see where you are in your ledger.
4. Right-click the patient name again → View Medical Record to retrieve the patient.
5. Review the patient record before the call (why bloods were requested, review results in Investigations).
6. When ready to call, open the patient details drop-down to view the telephone number.
7. Check any relevant patient alerts.
8. If you need to add or amend alerts, click here.
9. Click Add to add an alert.
10. Copy the telephone number (right-click to copy), then open X-on to make the call.
11. In X-on, click Softphone.
12. Use X-on to dial the number. The system is UK-based so no country codes are required.
13. For 10-minute appointments:
First call at the scheduled time
Second call after 3–4 minutes if no answer
After first attempt send AccuRx Failed Encounter – First
After second attempt send Failed Encounter – Final (skip “Second”)
No manual “Failed Encounter”/“DNA” coding needed — AccuRx message codes it automatically
14. For 15-minute appointments:
First call at the scheduled time
Second call after 2–3 minutes if no answer
Third call after 5–7 minutes if still no answer
After each attempt send the matching AccuRx Failed Encounter message (First / Second / Final)
No manual “Failed Encounter”/“DNA” coding needed — AccuRx message codes it automatically
15. If the consultation is a failed encounter, update the slot action on the ledger and move to the next patient.
If the patient answers, continue to the next step.
16. X-on records calls for monitoring, audit and training. Start with a professional introduction and complete a two-point ID check (e.g. name and DOB). Confirm the patient is in a private and safe place to talk.
17. Proceed with the consultation using the appropriate clinical template to ensure nothing is missed.
18. To add a consultation entry: Add → Consultation.
19. Set the consultation type (for these, select Telephone consultation).
20. Click Store as default for this session if you are doing telephone consultations for the rest of the clinic day.
21. Click OK to start the consultation.
22. To add a template, click Run Template.
23. Search for the relevant Ardens clinical template (e.g. LFTs, hyperkalaemia, hyponatraemia, FBC, anaemia). Double-click the template and click OK.
If there are multiple abnormal results, use one template and document all findings within it.
24. Work through the template sections as relevant. Add a history and select appropriate options from drop-down menus based on your discussion.
25. When complete, click Save Template.
26. You’ll return to the main consultation entry. Add any missing details in comments or relevant sections (medication, tests, documents, tasks, fit note).
27. Click Save when documentation is complete. Don’t forget the F12 protocol to code internally.
28. The consultation entry will now show in the patient’s consultations tab.
29. If you need to edit anything, right-click the entry → Edit Consultation.
30. Follow up any AccuRx actions (texts, self-referral, attachments) using the Atlas EMIS how-to guides if needed.
